Article: KB-FXMULTI Module: WordTriX.exe Build: 9.0.438 (And Later) The WordTricks core program WordTriX.exe uses custom client templates to generate Letter/Memo/Fax documents. This is done by selecting specific bookmarks in a template, and replacing the bookmarks with information from the generator dialog box, or directly from the WordTricks database. With this version and later, this capability has been expanded in two ways Two New Features for Multiple Sets of Bookmarks Multiple Insertion of Dialog Information
A new feature has been added to allow for better handling of multiple recipient faxes. This feature allows for a Fax Template to be created with a table row for each recipient. To do this, the standard set of Fax Bookmarks has been expanded (as documented in the master template, Fax_00.dot). And, the template is specially named with a "#" sign in the template name. Name the Template with "#" in the Name Typically Fax templates are named something like "Fax_09.dot" or "Fax_Firm_Main.DOT." In order for the Fax Generator to recognize a Fax Template as being for multi-recipient use, it must be named with the "#" symbol somewhere in the name. For example, the template named "Fax_09#.dot" will be recognized as a multi-recipient fax.
Note: It is not a good idea to name a fax template with the "#" in the name if it is not a multi-recipient fax. Doing so adds un-necessary processing time because WordTricks will search for the extended set of bookmarks.
Use Multi-Line Bookmarks Certain bookmarks can be used to manage multi-selection fax recipients. Bookmarks v1 through v6 may be expanded if they are associated with one of the following Contax fields:
Of these, the most important is the Recipient's FullName or v1 Bookmark. By creating a bookmark:
The presense of this bookmark causes the template to be processed differently. IMPORTANT NOTE: The v1_# series bookmarks
must refer to the recipient's full name. Create additional bookmarks for any of the v1 through v6 entries for multiple recipients (up to 10) by replacing the bookmark with it's equivilent plus "_#" for the recipient number. Example:
Handling Table Rows The v1_# series of bookmarks are important for another reason. If this bookmark appears in a table row and there is no recipient for the related bookmark, the row is removed from the table. For example: If the template contains 4 table rows that contain bookmarks v1_1 through v1_4, but only two fax recipients are selected from contacts, the rows containing bookmarks v1_3 and v1_4 will be deleted.
Multiple Insertion of Dialog Information In some instances it is desirable to have a single contact's information appear more than once in a template. For this reason the v1 through v6 bookmarks can also be expanded with "_a", "_b", etc. For Example, the recipient's FullName will appear at each of the following bookmarks: v1 v1_a v1_b v1_c
IMPORTANT NOTE: The "_a" can be any character (or characters) following the "_" except numbers. Numbers following the "_" will be interpreted as being associated with multiple recipients. |
