Document ID Trailer/Footer

WordTricks provides a quick means of identifying your documents with this tool.

The document's name (or document number for managed systems) can be inserted or updated any time after the document is saved. Optionally, a number or code to identify the client/matter/transaction, etc. may also be included.

To insert (or modify) an ID, click on the Footer button or press SHIFT + ALT + A.

The Document ID Trailer/Footer dialog box will appear:

Placement

Note that there are several options for placement. The first three options create document trailers.

For all of the options other than "Footer," the document ID is placed a single time in the document.

When the placement option for "Footer" is chosen, it can optionally be placed in the current footer or in All Footers of All Sections. Placing the document ID in the current footer assumes that the document sections are set up as desired. The option for "All Footers & All Sections" places the ID in all footers regardless of how the document is sectioned.

Note: Placing the document ID in the Footer is NOT the RECOMMENDED option. It requires coordination with page numbering and other things that may appear in the footer. Also, it increases the likelihood that Word will interpret each page graphically when the document is printed, which can increase the print job size by several fold.

Including Client/Matter/Transaction/Closing Numbers

In addition to the document name or number, client/matter information can be included by checking the "Include" check-box.

For most WordTricks installations in a "Managed Document" environment, the Client/Matter information is automatically placed in the "Include" text box. But it (or any supplemental information) can also be typed there.

Note: If the Include box is unchecked, the document will retain the client/matter number, but it will not be displayed

When ready to insert, click the OK button.

Updating an Existing Document ID

To update an existing document ID, simply click on the footer button and choose Update the existing one.

To change the position of an existing document ID, choose a different placement option. The previous ID will be removed and the new one placed accordingly.

Then when ready, click the OK button.

Font Size

By default, the font size for the document ID is 7 points. But this can be changed to any value between 3 and 16, which is retained for the next usage.

Deleting Document IDs

Manually placed document IDs are sometimes difficult to track down and delete. But with the WordTricks Footer/Doc ID feature, each document ID (regardless of it's placement) is marked for easy removal.

To do so, simply click the button.
